Vanderbilt Health RX Solutions LLC, a subsidiary of Vanderbilt University Medical Center (VUMC) , is a full-service Specialty Pharmacy services business that delivers value added solutions to health system and employer partners nationwide.
We are currently seeking a Business Operations Coordinator to join our dynamic and entrepreneurial team. Reporting to the Vice President of Vanderbilt Health Rx Solutions, this individual will play an integral role supporting a range of initiatives for a small business and operations team, including sales operations, website management, contract management, reporting, and special projects.
Roles and Responsibilities:
The successful individual will work closely with the Business Development team and other VUMC departments to support proposal development, contract management, purchasing, client billing and reporting. Supports all aspects of client meeting events and client presentation development.
Collaborates with the business and marketing groups to administer website content, maintain the design and upkeep of the company website
Provide regular and ad-hoc analysis and reporting based on client and business needs.
Provides administrative support to the team as needed including but not limited to; scheduling travel for client meetings, supporting meeting/calendar appointments, meeting preparation, etc.
Coordinate busy and shifting calendars to include scheduling and coordinating meetings, applying good judgment in determining priorities.
Coordinate logistical arrangements for meetings including space reservations, catering, audio/visual needs and equipment set-up
Coordinate and manage special events, as needed
Bachelor's degree in business
Minimum 3 years business and or high skilled executive administration experience
Thorough working knowledge of Microsoft Office suite of products is necessary.
Experience working with CRM tools a plus.
Demonstrated advanced working knowledge of Microsoft Excel and Power Point is preferred.
Background in handling a wide range of business operations as well as executive support related tasks and will be able to work independently as needed
Excellent computer software skills and ability to create reports, dashboards, templates, tools and workflows.
Proficient with Microsoft Office Suite programs and project management tools
Ability to work collaboratively, in a dynamic environment, with all levels of staff and departments to maximize performance, creativity, problem solving, process improvement ideas and results
The ability to interact with staff (at all levels) and thrive in a fast-paced and highly responsive environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role.
Expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally important.
